    Position Summary

    The Office Manager ensures operational excellence at Farrow Built by managing communications, maintaining efficient systems, and supporting seamless coordination between leadership, sales, and field teams. This pivotal role keeps the organization aligned through structure, clarity, and timely execution of administrative functions.

    Success in this role means staying steps ahead of the day's demands—clearing inboxes, coordinating internal processes, and keeping the office ready for anything.

    Key Objectives

    • Maintain inbox zero daily for two key email accounts
    • Ensure all job data, files, and digital documentation are accurate and current
    • Support job transitions and field crews with well-prepared physical and digital job files
    • Keep the office organized, clean, and client-ready at all times
    • Update and improve standard operating procedures (SOPs) consistently
    • Support hiring, onboarding, and team coordination
    • Plan and coordinate internal meetings and events smoothly and on time

    Core Responsibilities

    • Manage and respond to key emails and calls, filtering spam and booking appointments
    • Update CRMs, KPI trackers, job notes, and internal communications daily
    • Prepare daily summaries of urgent items and owner actionables
    • Maintain Google Drive, company records, and digital file structures
    • Track SOP version control and ensure admin processes are documented and current
    • Prepare materials for job launches and internal meetings
    • Maintain employee records and assist with onboarding/offboarding
    • Plan and coordinate internal events and quarterly meetings
    • Support recruitment activities, including scheduling and applicant tracking

    Required Competencies

    • Exceptional organizational and time-management skills
    • Clear and proactive written and verbal communication
    • Strong digital literacy (Google Workspace, CRMs, digital filing)
    • Detail-oriented with ability to manage multiple priorities
    • High personal accountability and alignment with company values
    • Strong problem-solving and systems-improvement mindset
    • Ability to work independently and take initiative
    • Professionalism in a fast-paced, growing environment
    • Experience supporting admin, sales, field, and leadership teams
    • Experience managing SOPs and version-controlled systems

    Education & Experience

    • 3+ years experience in office administration or operations support
    • Construction, trades, or service-industry experience is an asset
    • High school diploma required
    • Post-secondary education in administration or business preferred

    Physical Requirements

    • Ability to sit, stand, and work at a computer for extended periods
    • Occasionally lift office supplies up to 25 lbs
    • This is an in-person role — must work on-site during business hours
